CANCELLATION & REFUND POLICY

This Cancellation & Refund Policy applies to appointments booked using Techowiz, operated by Chaperone Solutions LLP, Plot No. 615/1209, Vijaynagar, Samalpur, Balasore, Odisha – 756056, India.

1. Techowiz’s Role

Techowiz is a healthcare technology platform that enables Patients to book appointments with participating Doctors, clinics and Hospitals.

Unless expressly stated otherwise, the relevant Doctor, clinic or Hospital independently provides the healthcare service.

The healthcare provider, and not Techowiz, determines:

  • consultation fees;
  • appointment schedules;
  • cancellation windows;
  • rescheduling rules;
  • no-show policies;
  • refund eligibility; and
  • other appointment-specific commercial conditions.

2. Provider-Specific Cancellation Policy

Each Doctor or Hospital may establish its own cancellation and refund policy.

Where applicable, the relevant policy should be displayed or communicated before the Patient confirms an appointment.

By completing the appointment booking, the Patient agrees to the cancellation, rescheduling and refund terms applicable to that healthcare provider at the time of booking.

Different Doctors or Hospitals may have different policies.

3. Cancellation by Patient

A Patient may request cancellation using the functionality available through Techowiz or by contacting the relevant healthcare provider where such functionality is unavailable.

Eligibility for a refund following Patient cancellation will be determined by the policy displayed by the relevant Doctor or Hospital when the appointment was booked.

Techowiz does not independently override a healthcare provider’s disclosed cancellation policy except where required by applicable law or where an error attributable to Techowiz requires correction.

4. Rescheduling

A Doctor or Hospital may permit appointments to be rescheduled instead of cancelled.

Availability of rescheduling, any rescheduling limit and any additional amount payable are determined by the relevant healthcare provider.

A Patient is not guaranteed a particular replacement date or time.

5. Cancellation by Doctor or Hospital

Doctors and Hospitals may occasionally cancel or reschedule appointments because of:

  • medical emergencies;
  • Doctor unavailability;
  • operational requirements;
  • Hospital emergencies;
  • technical problems;
  • scheduling errors; or
  • circumstances outside reasonable control.

Where a provider cancels an appointment for which advance payment has been successfully collected, the relevant provider’s cancellation/refund arrangement will apply, subject to applicable law.

Where appropriate, the Patient may be offered:

  • a replacement appointment;
  • rescheduling; or
  • a refund of the applicable consultation amount.

6. No-Show

A Patient may be treated as a “No-Show” if the Patient:

  • fails to attend the appointment;
  • does not join within a permitted period for a scheduled remote consultation; or
  • is otherwise unavailable at the scheduled time.

Refund eligibility in a No-Show situation will be determined by the relevant Doctor/Hospital’s policy.

Techowiz is not responsible for refunds denied in accordance with a clearly disclosed provider No-Show policy, except to the extent required by applicable law.

7. Late Arrival

Healthcare providers may refuse or shorten consultations where a Patient arrives materially late and the delay affects subsequent appointments.

The relevant provider’s cancellation and refund terms will apply.

8. Refund Processing

Where a refund has been approved, the amount will generally be returned through the original payment method or another method supported by the relevant payment provider.

Once a refund instruction has been successfully submitted, the time required for the amount to reflect may depend upon:

  • the payment gateway;
  • bank;
  • card issuer;
  • UPI provider; or
  • other payment service provider.

Techowiz does not control banking or payment-network settlement timelines.

9. Payment Gateway Charges

Where transaction, gateway, platform or convenience charges are separately disclosed, their refundability will be governed by the terms displayed during the transaction and applicable law.

Any non-refundable charge must be disclosed where legally required.

10. Failed Payments

Where a Patient’s account is debited but Techowiz does not receive a successful transaction confirmation, the payment may constitute a failed or pending transaction.

Such payments may automatically reverse through the bank or payment service provider.

Patients should not repeatedly make payment where a transaction remains visibly pending without first confirming its status.

11. Duplicate Payments

If the same appointment is accidentally charged more than once and duplicate payment is verified, the excess successfully received amount will be eligible for correction or refund, subject to verification.

Patients should contact:

support@techowiz.co.in

and provide:

  • registered mobile number or email;
  • appointment ID;
  • transaction reference;
  • payment date; and
  • amount paid.

Patients should never email passwords, OTPs or complete banking credentials.

12. Incorrect Appointment Booking

A refund will not automatically be due merely because a Patient:

  • selected the wrong Doctor;
  • selected the wrong speciality;
  • selected the wrong Hospital;
  • selected the wrong appointment time; or
  • changed their mind.

The relevant provider’s cancellation policy will apply.

13. Dissatisfaction With Consultation

Techowiz facilitates access to independent healthcare providers.

A refund is not automatically due merely because a Patient:

  • disagrees with a Doctor’s medical opinion;
  • does not receive a particular prescription;
  • does not receive the diagnosis expected;
  • is advised to undertake further tests;
  • is referred to another specialist; or
  • is dissatisfied with the medical outcome.

Complaints concerning professional medical services should be raised with the relevant Doctor/Hospital.

Nothing in this Policy limits rights that cannot lawfully be excluded.

14. Technical Failure

Where an appointment cannot reasonably occur because of a material technical failure attributable solely to the Techowiz Platform, Techowiz may coordinate with the provider to:

  • reschedule the appointment;
  • restore access; or
  • facilitate an appropriate payment correction or refund where warranted.

Techowiz is not responsible for connectivity failures attributable to:

  • the Patient’s internet service;
  • the Patient’s device;
  • the Doctor’s local internet service;
  • external telecommunications networks; or
  • independent third-party services outside Techowiz’s reasonable control.

15. Refund Disputes

If a Patient believes that a refund has been incorrectly denied, the Patient should first contact the relevant Doctor/Hospital where the decision was made under that provider’s policy.

Techowiz may assist with Platform or payment-record information but does not replace the healthcare provider as the decision-maker regarding its own disclosed cancellation policy.

16. Chargebacks

A Patient should contact the healthcare provider or Techowiz support before initiating a payment dispute where the issue can reasonably be resolved through the normal refund process.

Fraudulent chargebacks or deliberate payment reversals for services properly received may result in account restriction and recovery action to the extent permitted by law.

Nothing in this clause restricts a legitimate right to dispute an unauthorised or legally contestable transaction.

17. Healthcare Provider Responsibility

Doctors and Hospitals using Techowiz are responsible for:

  • defining their refund and cancellation policy;
  • keeping that policy accurate;
  • ensuring it is not misleading;
  • complying with applicable consumer law;
  • honouring refunds legitimately due under their published policy; and
  • informing Techowiz of changes where Techowiz displays the policy on their behalf.

18. SaaS Subscription Fees

This Patient-facing Cancellation & Refund Policy primarily concerns healthcare appointments.

Subscription, licence, implementation or SaaS fees charged to Doctors, clinics, Hospitals or Organisations are governed by the relevant:

  • SaaS Agreement;
  • Order Form;
  • commercial proposal; or
  • written contract.

19. Statutory Rights

Nothing in this Policy excludes, restricts or overrides a refund, remedy or consumer right that must be provided under applicable law.

Where a contractual term conflicts with a mandatory legal requirement, the mandatory requirement will prevail to the extent of the conflict.

20. Changes

Techowiz may update this Policy from time to time.

Changes will not ordinarily alter a cancellation/refund rule that was specifically disclosed and accepted for an appointment already booked, except where required by law or agreed with the Patient.
