This Privacy Policy explains how Techowiz may collect, receive, use, store, process, disclose and protect personal information when individuals and organisations use our website, application, Health CRM, dashboards and related services (“Platform”).

Because Techowiz is used in healthcare environments, some information processed through the Platform may include health and medical information.

We are committed to handling personal information responsibly and in accordance with applicable Indian data-protection, information-technology and other applicable laws.

1. Who Uses Techowiz

Techowiz supports different categories of users, including:

  • Patients;
  • Doctors and clinics;
  • Hospitals and their employees;
  • Organisations engaged by Hospitals, including authorised lead-management or administrative teams; and
  • authorised administrators and personnel of the above.

Different users receive different levels of access depending on their role and permissions.

2. Our Role in Processing Information

Depending on how Techowiz is being used, our role may differ.

For information provided directly by an individual for establishing and operating a Techowiz account or accessing services provided directly by Techowiz, Chaperone Solutions LLP may determine the purposes for which certain personal information is processed.

Where a Hospital, Doctor, clinic or Organisation uses Techowiz to manage its own Patients, employees, leads, appointments or healthcare operations, that institution may determine why and how the relevant information is processed, while Techowiz processes the information to provide the technology service and in accordance with applicable contractual and legal requirements.

Questions regarding a particular Hospital’s or Doctor’s independent use of Patient information may therefore need to be addressed to that healthcare provider.

3. Information We May Collect

3.1 Patient Information

Depending on how the Platform is used, information may include:

  • name;
  • age or date of birth;
  • gender, where provided;
  • mobile number;
  • email address;
  • address or location-related information;
  • account and profile information;
  • appointment history;
  • Doctor or Hospital preferences;
  • queries and communications;
  • emergency contact information, where provided; and
  • other information voluntarily submitted through the Platform.

3.2 Health and Medical Information

Patients, Doctors or authorised institutions may submit or generate information such as:

  • medical history;
  • symptoms;
  • allergies;
  • medical conditions;
  • prescriptions;
  • diagnostic reports;
  • laboratory reports;
  • imaging or other medical documents;
  • previous consultation information;
  • treatment-related information;
  • clinical notes where supported;
  • Patient-uploaded documents; and
  • other health-related information.

Health information is intended to be accessible only to users who are authorised to access it for legitimate purposes.

3.3 Doctor Information

We may process information relating to Doctors such as:

  • name;
  • contact information;
  • profile photograph;
  • speciality;
  • qualifications;
  • professional registration information;
  • hospital or clinic affiliation;
  • experience;
  • consultation fees;
  • appointment availability and schedules;
  • department information; and
  • other professional information.

3.4 Hospital and Organisation Information

We may process:

  • hospital or organisation name;
  • business contact information;
  • address;
  • department information;
  • authorised user information;
  • employee or administrator details;
  • Doctors associated with the institution;
  • operational information;
  • subscription information; and
  • account configuration and permissions.

3.5 Lead and Enquiry Information

Where lead-management features are used, Techowiz may process:

  • prospective Patient name;
  • phone number;
  • email address;
  • enquiry details;
  • source of enquiry;
  • interested department or service;
  • lead status;
  • follow-up information; and
  • communications or notes relating to the enquiry.

Hospitals and Organisations using lead-management functionality are responsible for ensuring that lead information is collected and used lawfully.

3.6 Technical and Usage Information

When the Platform is accessed, certain technical information may be collected, including, where applicable:

  • IP address;
  • device information;
  • browser information;
  • operating system;
  • login records;
  • activity logs;
  • date and time of access;
  • security and audit information;
  • crash or diagnostic information; and
  • cookies or similar technologies where used.

4. How We Obtain Information

Information may be obtained:

  • directly from Patients;
  • from Doctors;
  • from Hospitals;
  • from Organisations authorised by Hospitals;
  • from institutional administrators;
  • through Platform activity;
  • from integrated services;
  • from communications with our support team; or
  • from other sources where permitted by law.

Hospitals and Organisations uploading information about Patients or other persons are responsible for having appropriate authority to provide that information to Techowiz.

5. Why We Process Information

We may process personal information for purposes including:

Account Management

To:

  • create and authenticate accounts;
  • maintain user profiles;
  • assign user roles;
  • provide appropriate permissions; and
  • secure Platform access.

Appointment Management

To:

  • display appointment availability;
  • facilitate appointment booking;
  • manage cancellations or rescheduling;
  • communicate appointment information; and
  • enable Doctors and Hospitals to manage schedules.

Healthcare Administration

To enable authorised Doctors and healthcare institutions to:

  • access Patient information;
  • review Patient-provided medical records;
  • manage appointments;
  • coordinate healthcare administration; and
  • perform other authorised functions.

Hospital Management

To enable Hospitals to:

  • manage departments;
  • manage Doctors;
  • configure Doctor availability and fees;
  • manage Patients;
  • manage appointments; and
  • administer healthcare operations.

Lead Management

To enable authorised Hospitals and Organisations to:

  • record enquiries;
  • manage leads;
  • assign follow-ups;
  • maintain lead status; and
  • coordinate permitted Patient communication.

Communication

To send or facilitate:

  • OTPs;
  • account notifications;
  • appointment confirmations;
  • appointment reminders;
  • service-related communications;
  • security notifications; and
  • support communications.

Marketing communications will be subject to applicable law and available consent or preference mechanisms.

Platform Improvement

We may use appropriate information to:

  • identify errors;
  • troubleshoot technical issues;
  • improve performance;
  • develop Platform functionality;
  • prevent fraud;
  • protect accounts; and
  • understand general Platform usage.

Where reasonably possible, aggregated or de-identified information may be used for analytics and product improvement.

Legal and Security Purposes

Information may also be processed where necessary to:

  • comply with legal obligations;
  • respond to lawful government or regulatory requests;
  • investigate security incidents;
  • prevent fraud or misuse;
  • enforce agreements;

6. Consent and User Choice

Where consent is required by applicable law, Techowiz or the relevant healthcare institution may request consent before processing personal information for the relevant purpose.

Where legally permitted, consent may be withdrawn.

Withdrawal of consent will not affect processing that was lawful before the withdrawal and may affect the ability to provide services that necessarily depend on the relevant information.

Some information may need to be retained or processed despite withdrawal where permitted or required by applicable law.

7. Access to Patient Information

Patient information may be accessible to different parties depending on the Patient’s relationship with healthcare providers and permissions configured through the Platform.

This may include:

  • the Patient;
  • the selected or treating Doctor;
  • authorised Hospital personnel;
  • authorised clinic personnel;
  • authorised institutional administrators;
  • authorised Organisations acting for a Hospital; and
  • Techowiz personnel where access is reasonably required for support, security, maintenance, legal compliance or Platform administration.

Access should follow the principle that users receive only the information reasonably necessary for their authorised responsibilities.

8. Organisations and Lead Managers

Hospitals may authorise third-party Organisations to manage leads and certain Patient-related administrative workflows.

Such Organisations should only receive access to information required for their authorised role.

Access to medical or clinical records should not be provided merely because an Organisation manages leads. Such access should occur only where specifically necessary, authorised, contractually permitted and legally permissible.

Organisations are responsible for their personnel’s use of information made available through their account.

9. Sharing of Personal Information

We may share information where reasonably necessary with:

Healthcare Providers

Information may be shared with Doctors, clinics and Hospitals selected by or associated with the Patient where necessary to provide healthcare-related services.

Authorised Organisations

Information may be made available to authorised third-party Organisations where they have been engaged by a Hospital to perform permitted functions.

Technology Service Providers

We may use service providers for functions including:

  • cloud hosting;
  • database infrastructure;
  • communications;
  • email;
  • SMS;
  • authentication;
  • payment processing;
  • customer support;
  • cybersecurity;
  • analytics; and
  • software infrastructure.

Such providers should receive information only as reasonably necessary to perform the relevant service and subject to appropriate contractual and legal obligations.

Legal and Regulatory Authorities

Information may be disclosed where reasonably believed necessary to:

  • comply with applicable law;
  • comply with a court order;
  • respond to a lawful request from an authorised government agency;

10. We Do Not Sell Patient Medical Information

Techowiz does not permit Patient medical information to be sold or traded as a commercial database.

Institutional users are likewise prohibited from using Techowiz to unlawfully sell or trade Patient information.

11. Data Security

We maintain reasonable technical and organisational safeguards designed to protect information against unauthorised access, alteration, disclosure, loss or misuse.

Depending on the nature of the system and information, safeguards may include measures relating to:

  • role-based access;
  • authentication;
  • account security;
  • access logging;
  • activity monitoring;
  • infrastructure security;
  • backup and recovery;
  • vulnerability management; and
  • restrictions on internal access.

No electronic storage or transmission system can be guaranteed to be completely secure.

Where a personal-data or cybersecurity incident occurs, Techowiz will take reasonable steps to:

Institutional users must promptly inform Techowiz of suspected unauthorised access involving their account.

13. Data Retention

Personal information is retained only for as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, contractual, security, dispute-resolution and legal requirements.

Retention periods may vary depending on:

  • the type of information;
  • healthcare or medical-record requirements;
  • the relationship with a Hospital or Doctor;
  • contractual requirements;
  • applicable law;
  • pending disputes;
  • security requirements; and
  • backup and archival cycles.

Where Techowiz processes information on behalf of an institutional customer, retention or deletion may also be governed by that customer’s instructions and contractual requirements.

14. Account Closure and Deletion Requests

Users may contact Techowiz to request closure of their Techowiz account.

Account deletion does not necessarily mean that every associated record can immediately be erased.

For example, information may need to remain with a Doctor or Hospital where retention is required for medical, legal, regulatory or record-keeping purposes.

Techowiz may also retain limited information where necessary for security, fraud prevention, legal compliance or dispute resolution.

15. Your Privacy Rights

Depending on applicable law and the context in which your information is processed, you may have rights to request actions relating to your personal information, including:

  • information about processing;
  • access to information;
  • correction of inaccurate information;
  • completion or updating of information;
  • deletion or erasure where applicable;
  • withdrawal of consent where processing depends on consent; and
  • grievance redressal.

Certain requests may need to be submitted directly to the Doctor, Hospital or other institution that controls the relevant Patient record.

We may need to verify your identity before processing a privacy request.

16. Children’s and Minors’ Information

Health services may sometimes involve individuals below 18 years of age.

Where required by applicable law, information relating to a child should be provided or authorised by a parent or lawful guardian.

Doctors and Hospitals remain responsible for ensuring that their treatment and management of minors comply with applicable healthcare and consent requirements.

We do not intentionally encourage children to create independent accounts where parental or guardian involvement is legally required.

17. Cookies and Similar Technologies

Techowiz may use cookies, local storage or similar technologies where necessary to:

  • keep users logged in;
  • maintain sessions;
  • remember preferences;
  • improve security;
  • analyse Platform performance; and
  • improve functionality.

Where applicable, users may manage certain cookie preferences through their browser or available Platform controls.

Disabling essential cookies may affect Platform functionality.

18. Communications

Techowiz may send transactional communications relating to:

  • OTP verification;
  • account security;
  • appointments;
  • service activity;
  • Patient queries;
  • Platform updates;
  • billing; or
  • customer support.

Promotional communications, where used, will be subject to applicable consent and communication requirements.

19. Payments

Where payment functionality is offered, payment transactions may be facilitated through independent payment providers.

Payment providers may process payment information under their own terms and privacy policies.

Techowiz should not be provided with payment-card details outside designated payment interfaces.

20. International or Cross-Border Processing

Some technology infrastructure or service providers may process information from locations outside the user’s state or, where legally permissible, outside India.

Where cross-border processing occurs, Techowiz will take steps reasonably required under applicable law and contractual arrangements to protect information.

The Platform may contain links or integrations with third-party websites or services.

Their privacy practices are governed by their own policies.

Techowiz is not responsible for independent processing performed by third-party websites that users choose to access.

The latest version will be displayed with an updated date.
